Artificial Intelligence (AI) Policy

1. Current Use of Artificial Intelligence

As of the effective date of this Policy, Teamgo does not employ artificial intelligence (AI) or generative AI technologies within the Teamgo Visitor Management platform to process customer data, visitor records, contractor records, employee records, or other customer-generated content.

Teamgo does not use customer data, visitor records, employee records, contractor records, or customer-generated content to train artificial intelligence models.

Teamgo does not provide customer data to third-party AI providers for the purpose of training artificial intelligence models.

Teamgo does not use AI to make decisions regarding visitor access, contractor approvals, employee attendance, compliance outcomes, workplace safety activities, or security determinations.

2. Third-Party Support Tools

Teamgo may utilise third-party support and business productivity tools that incorporate AI-assisted functionality to assist with general customer support enquiries, administrative tasks, internal research, content drafting, or operational efficiency.

Where such tools are used, Teamgo employees and authorised representatives must not enter confidential customer information, visitor records, employee records, contractor records, source code, credentials, security documentation, or other sensitive customer data into public AI systems unless expressly authorised and protected by appropriate contractual, security, and privacy controls.

Third-party tools operate under their own terms of service and privacy policies, and Teamgo takes reasonable steps to ensure that any such services are used in a manner consistent with our privacy and security obligations.

3. Future Implementation of AI

Teamgo is committed to innovation and may introduce AI-enabled functionality into its products or services in the future where it provides genuine value to customers.

Prior to implementing any AI technologies that process customer information, Teamgo will undertake appropriate privacy, security, legal, and operational assessments to ensure compliance with applicable laws, contractual obligations, and industry best practices.

Customers will be notified of any significant AI-related changes that may materially affect data processing, automated functionality, user rights, or privacy obligations.

4. Privacy and Data Protection

Any future use of AI technologies by Teamgo will be designed and operated in accordance with applicable privacy and data protection requirements, including:

  1. The Privacy Act 1988 (Cth);
  2. The Australian Privacy Principles (APPs);
  3. Guidance issued by the Office of the Australian Information Commissioner (OAIC);
  4. Applicable international privacy and data protection laws where Teamgo provides services to customers in other jurisdictions.

 

Teamgo will ensure that any future AI implementation:

  1. Processes personal information lawfully, fairly, and transparently;
  2. Limits data collection and processing to legitimate business purposes;
  3. Applies appropriate technical and organisational safeguards to protect information;
  4. Provides transparency regarding the use of AI and any associated data processing activities.

 

5. Transparency and User Rights

Should Teamgo implement AI-enabled functionality that materially impacts users or involves significant automated processing, Teamgo will, where required by applicable law:

  1. Provide clear information regarding the purpose and operation of the AI functionality;
  2. Inform users how personal information is processed;
  3. Obtain consent where legally required;
  4. Provide appropriate mechanisms for human review or customer assistance where applicable.

 

6. Governance and Oversight

Teamgo is committed to the responsible, secure, and ethical use of technology.

Any future AI technologies introduced by Teamgo will be subject to appropriate governance, risk assessment, privacy review, security controls, and ongoing monitoring to ensure compliance with legal, regulatory, and contractual obligations.

This Policy will be reviewed periodically and updated as required to reflect changes in technology, legislation, business practices, and Teamgo’s use of AI technologies.
